Introduction to Project Management Information System

A project management information system is an information system that consists of tools and procedures used to collect, integrate, and disseminate project management process outputs. It can contain both human and automated technologies and is used to support all parts of a project from start to finish.


While each PMIS implementation vary in scope, architecture, and features, application software is considered an essential component of all implementations. The optimal use of PMIS is greatly dependent on how important information is made available to all stakeholders and the level of automation of the process.


Essentially, information systems Project management is the activity of organizing the information required for the development of an information systems project. The Project Management Information System’s objective is to ensure that the project runs smoothly. Project Management Information Systems can also be defined as a framework that assists Project Managers in running, monitoring, and controlling projects.


What is Information Systems Project Management?


Information systems project management, which is based on the book A Guide to the Project Manager Body of Knowledge, provides access to information technology (IT) software such as scheduling software, job authorization systems, configuration management systems, information collection and distribution systems, and interfaces to other online automated systems such as enterprise knowledge base repositories. This system can include automatic collecting and reporting of key performance indicators (KPIs).


PMIS includes scheduling software that generates start and finish dates based on activity inputs, network diagrams, resources, and activity durations to speed up the process of creating a schedule model. Alternative cost-management options are provided by project management information systems.


To help estimate expenses, these systems may incorporate spreadsheets, simulation software, and statistical analysis tools. The tool simplifies the application of several cost estimating approaches, allowing for the rapid examination of cost estimation alternatives.


This system is frequently used to monitor three-dimensional EVMs (PV, EV, and AC), display graphical trends, and estimate various possible project outcomes. To track errors, PMIS, or quality management software, can be employed.


Important Components of Information Systems Project Management


A project management information system, according to PMI, can incorporate resource management software that can help plan, organize, and manage resource pools as well as produce resource estimations. Depending on the software’s sophistication, resource breakdown structures, resource availability, resource levels, and other resource calendars can be specified to aid in resource utilization optimization. Some of these critical components of a project management program are undeniably vital to the project’s success.


1. Planning

PMIS can contain resource management or scheduling software for managing and coordinating team members throughout project tasks.

Scheduling is often separated into five stages.

– By breaking down the project into tasks, the project manager makes it easy to track the progress or development of a project.

– Estimated time, project managers and other top-level managers can estimate when the project will be completed by calculating the time required.

– Task dependence, which tasks should be prioritized for efficient resource consumption.

– Network diagram of gnatt, The Network Diagram is a graphical representation of all tasks, responsibilities, and workflows in a project, whereas the Gnatt Diagram is a timeline diagram that shows task deadlines.


2. Calculate

Schedules, resources, and software expenses may be included in the PMIS to guarantee that the agreed-upon risk response plan and associated activities are integrated into the project alongside other project activities. Before you begin estimating time, you must first obtain essential project information. As a result, the first major step is to define who your product’s users are and what they require to stay on track.


3. Materials

Includes resource management, which may be used to monitor resource use and ensure that the appropriate resources are doing operations at the appropriate time and location.


4. Documentation

PMIS provides project managers with a consistent set of tools for capturing, storing, and distributing information to internal and external stakeholders, with documentation anticipated in accordance with the initial communication plan. The system’s information is monitored to determine its authenticity and effectiveness.


Furthermore, PMIS can ensure that stakeholders may easily and quickly get the information they require. A variety of tools are used to organize and distribute project information, including:

a. Project management software. Meeting and virtual office support software, online interfaces, custom project portals and dashboards, and collaborative work management solutions are all available.

b. Management of electronic communication. Email, fax, and voicemail; audio, video, and web conferencing; and websites and web publishing are all examples of communication methods.

c. Social media administration. Websites and web publishing, as well as blogs and applications, provide opportunities for stakeholders to interact and build online communities.
